Role Purpose

To take up all proposal admin work to support proposal team and Proposal Governance team

Key Accountabilities

  • Resource Coordination Provide administrative support to Proposal Team and Proposal Governance team to ensure smooth proposal work. This role involves overseeing travel arrangements, meeting room bookings, maintaining filing system, and handling logistics essential to the proposal work.
  • Support Project Proposals - Provide administrative assistance to proposal team including organizing meetings, managing schedules and maintaining documentation. - Coordinate and book meeting rooms. - Maintain organized documentations. - Arrange travel logistics for Proposal Team and Proposal Governance team, including flights, visa, accommodation, transportation and other related arrangements. - Support documentation like modify Presentation Slides or Word documents per the scribble comments
  • Maintain Filing Systems Maintain filing system for proposal work including all the necessary documentations
  • Regulation Compliance Keep records of all documentations, including receipts, compliance-related information. Ensure adherence to relevant regulations and compliance standards in proposal related activities
  • Updating Proposal team personnel movement Compiles and provides updated key office information (e.g. org chart, personnel movement, etc.) to relevant stakeholders for reporting/processing purposes


Qualifications

Bachelor in Accounting or Business Management or its equivalent.


Competencies

Technical:

- Proficiency in relevant software and tools:

- Excel

- Word

- PowerPoint

- Visio

- Proven track records in administrative roles, particularly in a proposal or a project management environment.

- Strong time management skills and multitasking ability

- Familiar with travel planning and logistic coordination.
